# Pisces Checklists — Staff Guide

Welcome! This is your daily checklist app for opening, closing, ordering, and signing off shifts at Pisces. It works on your phone like any other app — but it's a website, not from the App Store.

**The most important thing**: it works offline. If the bar Wi-Fi cuts out, the app keeps working. Your changes save to your phone and upload automatically when you're back online.

## 1. Getting the App

The app lives at **checklists.pisc3s.com**. Open that link once, then save it to your home screen — after that it acts like a real app.

### iPhone
1. Open Safari (must be Safari — not Chrome)
2. Go to **checklists.pisc3s.com**
3. Tap the **Share** button at the bottom (square with an up-arrow)
4. Scroll down and tap **Add to Home Screen**
5. Name it "Checklists" and tap **Add**
6. The icon appears on your home screen — tap it to open

The login screen shows a step-by-step picture guide if you need help.

### Android
1. Open Chrome
2. Go to **checklists.pisc3s.com**
3. Tap the three dots (top right) → **Add to Home screen**
4. Tap **Add**

### Why install it instead of just bookmarking?
- Opens like an app — full screen, no browser bar
- Works offline more reliably (browser tabs sometimes get cleared after 30 days)
- Faster to open
- Your login stays saved

## 2. Logging In

Two ways:

### Staff Login (most people)
1. Type your **first name**
2. Type your **4-digit PIN**
3. Tap **Sign In**

If your name has a duplicate (two Alexes, two Mikes), the app will ask you to pick which one you are.

### Admin Login (managers / owners)
1. Type **`0000`** as your PIN (no name needed)
2. Tap **Sign In**

You'll see the manager dashboard with the team and activity log.

> 💡 Forgot your PIN? Ask a manager — they can reset it from the Team screen. The admin PIN can also be changed from the gear icon.

You stay signed in for **12 hours**. After that you'll need to log in again.

## 3. Doing Your Checklist

When you log in, you see the list of templates for today — Opening, Closing, Maintenance, Ordering, etc.

### Check off an item
- Tap the circle next to an item to mark it done
- Tap it again to undo
- Items you've done show a green checkmark and your name underneath

### Items with details
Some items ask you to type a note, count something, or take a photo:

| **Check** | Just tap to mark done |
| **Count** | Tap the number, type the count |
| **Note** | Tap the field, type your note |
| **Photo** | Tap the camera icon, take or upload a picture |

### Order entries
Some templates (like "Bar Inventory" or "Liquor Order") have rows with multiple columns — On Hand, To Order, Brand, Notes, etc.

- Tap any cell to edit
- The app saves automatically as you type (no Save button needed)
- Tabs save when you leave them — never close the app or switch templates faster than the spinner

> ⚠️ **Don't reload the page mid-shift if you're on a slow connection.** Your typing is saved on your phone, but a hard reload before it syncs can wipe it. Wait for the cloud-sync icon to stop spinning.

### Signing off
When everything's checked, you'll see a **Sign Off** button at the bottom. Tap it, sign with your finger, and submit. Your signature gets stamped on today's sheet.

## 4. Working Offline

This is the big deal. **The app works without internet.**

### How you'll know
- Top of screen shows a **green dot** = online
- A **gray dot** = offline (your changes are saving locally)
- A **number badge** on the gray dot = how many changes are waiting to sync

You can keep working. Tap, type, sign — everything is saving to your phone.

### When you reconnect
- The dot turns green
- The badge counts down to zero as your changes upload
- A toast notification confirms when sync is complete

### What if I'm offline for a long time?
- Up to a full shift: no problem
- More than 24 hours: your data is still saved on your phone, but other staff won't see it until you reconnect
- More than 7 days: the app will warn you that you're far behind — try to reconnect to a known Wi-Fi before continuing

### Signatures offline
Sigs save locally and upload when you're back online. The line above your signature shows "Pending upload" until then — that's normal.

## 5. The Top Bar

## 6. Manager Tools

If you're a Manager or Owner, you'll see extra tabs.

### Team
- See all staff with their name, role, and last sign-in
- Add new staff: name + role + PIN
- Reset a PIN if someone forgot
- Remove someone who left

When you add a new staff member, **they need to log in once on each phone they'll use** while you're online. After that first login, they can log in offline from that phone.

### Activity Log
- Real-time list of every checked item, signature, PIN reset, etc.
- Filter by staff, action type, or date
- Tap any entry to see details

### Settings (gear icon)
- Change the **Admin PIN** (default is 0000)
- Toggle business-day cutover hour
- Square sync (re-pull staff from Square POS)

## 7. Common Questions

### "It says I'm offline but my Wi-Fi is on"
- Pull down to refresh. Sometimes the app needs to re-check the connection.
- If still offline, check that you're on the right Wi-Fi (not "Pisces-Guest" — that one blocks the app).
- Last resort: close the app and reopen.

### "I checked something but my coworker's phone doesn't show it"
- Their phone hasn't pulled the latest update yet. The app refreshes every **5 minutes** when online, or instantly when they reopen the app.
- Have them pull down to refresh manually.

### "I tapped check but it bounced back"
- That happens if you're offline AND another phone already checked the same item, AND the server picks the other version on sync.
- The activity log will show who actually got credit.

### "The pending count won't go down"
- You're probably online but the server is having trouble. Wait 5 minutes. If it still won't sync, message a manager — they can see "stuck syncs" in the dashboard.

### "I forgot my PIN"
- Ask a manager. From the Team screen they can tap your name → Reset PIN → enter a new 4-digit PIN. Tell them in private; PIN reset is logged in activity.

### "The app icon disappeared from my home screen"
- iOS sometimes evicts inactive PWAs after ~30 days. Just go back to **checklists.pisc3s.com** and Add to Home Screen again. Your saved data is still there.

### "I want to log out from a shared phone"
- Tap your avatar (top right) → Sign out
- Or hold the home screen icon and remove it after your shift if it's a one-time-use device

### "I can't open the app at all"
- Are you connected to the internet *right now, for the first time today*? The very first load needs Wi-Fi. After that, offline is fine.
- Try uninstalling (long-press icon → Remove) and reinstalling from the website.

## 8. Privacy & Security

- Your PIN is stored encrypted. The app never sends your real PIN over the network after login — only a verified token.
- Other staff cannot see your PIN, only your name and role.
- Photos and signatures are stored on Pisces' servers, not on your phone permanently.
- Activity logs are kept for 90 days.

If you suspect someone has your PIN, ask a manager to reset it immediately.
